GEM Word tidy-up

Graham has developed an automated application for cleaning up Word documents so they conform to house styles. The application – GEM – dramatically reduces administration and processing times for in-house editors handling documents from external sources.

GEM’s standard capabilities include:

  • removing empty paragraphs
  • changing spellings to conform to house guidelines
  • removing inappropriate spaces preceding punctuation marks.

In addition, the application can be tailored to meet client requirements. Such requirements can include:

  • removing headers and footers
  • formatting certain words or phrases (e.g. publication titles) appropriately
  • formatting references appropriately.

The clean-up process is entirely automated and works as follows:

  • The client logs in to the GEM FTP site
  • The client uploads the relevant document in either Word or RTF format
  • The document is processed
  • The document is emailed to the client as a Word document.

Manual intervention is only required in the case of any queries. In these instances, amendments are made to the application’s rules to handle future instances of the query.
